High Volume A4/A3 Document Scanning

DO operate a secure document scanning services either as an integrated function to our output services or as a stand-alone entity. Using sophisticated Kodak high speed duplex scanners operating Kofax Ascent Capture software and scanning at up to 85 pages per minute, we have a capacity to scan over 125,000 pages per day per scanner into most formats including TIF, PDF,ÊJPG and many more. Ê Our scanners can handle B+W, colour and any size up to A3 wide to guarantee the best quality images.

Eliminating wasted filing space

For all types of documents e.g. invoices, correspondence, reports, minutes, purchase orders we will take a sample of these from you and recommend the most cost effective way to complete the job quickly, to the highest quality in a totally secure environment. After image capture your original documents can either be returned, physically archived, or destroyed where a secure destruction certificate will be issued.

Output would normally be to CD or DVD with an agreed index format to allow speedy retrieval for viewing, print or as an email attachment.

A standard 4.8gb DVD would hold approx 100,000 A4 text pages illustrating the considerable annual cost saving on document storage space and the time saved in accessing, retrieving and re-filing, potentially mis-filing physical documents.

Reduced administration cost

It has been estimated that in a general administrative office environment staff can spend up to an hour daily finding hard copy business documents, sometimes unsuccessfully. Using the correct electronic retrieval management system using your scanned documents can reduce time by over 50%. To illustrate this effective saving a departmental section department with say 10 staff average cost £10 per hour could save up to £1200 per month.

Risk management & loss of information

Most organisations, as a minimum, have backups of their electronic base data but do not address the aspect of physical paperwork backups. A recent report indicated that companies who suffered aÊmajor lossÊof information due to fire typically went out of business within 12 months. Document scanning and electronic archival enables you to have multiple copies of your documents on and off-site and these can be re-instated within minutes of any disaster to ensure business continuity.

Quality control

All documents are scanned to our externally audited ISO 9001/2000 Quality Assurance procedures. Image Quality checking is done in line with PD0008 statistical sampling and the job progress is fully visible over DO Internet secure tracking system.

Document collection and delivery

Documents can be collected by our DO secure courier service who delivers directly into our processing centre, where the documents are logged in. Collection will be by specific arrangement and our courier will require formal signed documentation. Data output on CD/DVD will also be returned via DO courier ensuring security and confidentiality. Where electronic data is to be supplied in a format other than magnetic media, secure FTP is the recommended delivery mechanism.
